The What...
Supporting the accounts payable team with the general operation of the accounts payable department to ensure that daily, weekly and monthly tasks relating to Purchase Ledger, Banking and Sales Ledger are completed on time and to a high standard.
The responsibilities of the role includes:

Manage all communication received in the AP inbox efficiently and professionally.

Collaborate with the AP Coordinator (Canada based) to ensure all AP tasks are completed accurately, on time, and to a high standard.

Ensure all AP invoices are processed with appropriate coding and sent for workflow approval.

Monitor the AP intray to ensure timely invoice approvals.

Complete daily uploads of invoices for food & drink suppliers.

Ensure all utilities invoices are processed in the correct periods by sourcing them from the different utility supplier portals.

Process payment runs, including:
Weekly AP payments
Weekly team expenses
Monthly rent payments

Handle ad-hoc payments in multiple currencies (CAD, USD, GBP).

Process ad-hoc liquor payments.
-
Manage weekly gratuity payments to all locations.

Reconcile supplier auto-debit payments.
-
Complete monthly supplier statement reconciliations, focusing on food, drink, and amusements.

Run aged reports and investigate aged and debit balances.

Ensure new supplier paperwork complies with company policy.

Oversee the processing of credit card transactions and reconcile control account.

Ensure approved employee expense claims align with policy.

Raise Sales Ledger invoices and manage Aged Debt

Collaborate with the Canada Finance Assistant (UK based) to provide coverage during annual leave.

Assist with internal and external audit requests.

Perform any other tasks required to support the Canadian and UK finance teams.
To be successful, you'll have:

Proactive and able to use initiative.

Desirable: Experience within a multi-site company.
